Advising when Absent from KT OOSH

Unfortunately, this year we have had parents forget to notify KT OOSH of their child’s absence. Then to make a stressful situation worse, not being contactable when we are trying to locate your child. Please be reminded of the following procedures below relating to arrival at ASC.

1. The children line up on the basketball court and are signed in.

2 If any children haven’t arrived at ASC as expected, we send parents a text message. This message is to notify you that your child hasn’t arrived at ASC and to ask you to please advise us of if they are safe and where they are suppose to be. * NOTE we send a text message at first as this is a quicker option to be able to contact more parents in a very short space of time as opposed to calling and taking several minutes per call.

3. While we are waiting for a reply we ask the other children if they have seen the missing child and possibly check with the office / teachers. If we have not heard back from the parent at this point. We call all available contact numbers to locate the whereabouts of your child.

Please answer your phone if we call you around 3-3:30pm. Generally, it will mean your child hasn’t arrived at ASC and we are beginning to panic. It is so stressful when we are unable to located a child who we expect to arrive at ASC. Please save the KT OOSH @ OLA number in your phone and if we call, please answer – especially around 3pm.

To avoid all of the above occurring just remember to send a short text to the KT OOSH @ OLA phone to notify us your child will be absent. I understand we all have a lot to remember but this really helps avoid a potential stressful situation.

Booking in for Casual Care

To book Casual Care please see the procedures below:

1. If you are requesting a casual session within the current week you can send a text message of your request to the KT OOSH @ OLA phone. Staff will respond to you as soon as they commence their shift. IE at 6:45am or 2:45pm. This phone is only monitored during OOSH hours.

2. If you require casual care and have advance notice – IE anything outside of the current week is considered advance notice. You should send your request via email to ola@ktoosh.com.au

3. If you have an emergency. IE You find out during the day that you need afternoon care on that day OR you find out late at night you require morning care for the next day. Then your best option is to text message Kate directly on 0412 019 363

Sign IN & OUT Procedures

Just a quick note that we are planning on trialling a new system whereby parents can sign your children in and out of KT OOSH via an Ipad. You will use a 4 digit pin to do so and this information will be automatically updated to our Qikkids System.

We are currently setting this up and will keep you updated with exactly how this will work over the next few weeks.

KT OOSH Invoicing Procedures

Commencing from Term 1, 2014 KT OOSH accept fee payments via BPay or Direct Deposit only. Please note the following invoicing procedures as per below;

Paying via Direct Deposit / Ezidebit

If paying via Ezidebit you will receive a statement every second Tuesday. This is for your reference only. You will know how much will be debited on Wednesday and to be able to check over and see if its correct. If you feel there is an error on your account contact us ASAP so we can adjust or stop the debit from occurring. If the statement is correct you don’t need to do anything, just know the amount will be debited on the Wednesday.

Paying via BPay

If paying via BPay you will be sent an invoice every second Wednesday. This invoice is payable by the Friday. I understand this is a short payment period, however as we invoice over 2 weeks in arrears these are our payment conditions. If you feel you may miss or forget to pay your invoice on time, you can either; A. Sign up to pay via Ezidebit OR B. Make regularly weekly or fortnightly payments in advance so your account remains in credit and therefore you won’t need to action anything every second Wednesday. * Please be aware if your paying via BPay payments may take up to 24hrs to process IE Making the transfer on the Friday will be too late for payment to be made on time. If you do fail to pay fees on time a $10 late fee is automatically applied to your account at 5pm on Friday. You will receive a email from KT OOSH on Monday morning notifying you that your payment has not been received and late fees apply.

Please note the following two points;

1. If your account remains outstanding by the following Friday (now 5 working days overdue) your child’s care will be suspended commencing from the Monday.

2. If you fail to pay your account on time more then twice, you will be required to sign up to Ezidebit as a condition of your continued enrolment with KTOOSH.

To avoid any of the above occurring, please contact KT OOSH if you are having difficulties for any reason with paying your KT OOSH Fees. We are more then happy to arrange a payment plan and discuss options with you.
